Accounting and Confirmations Specialist
Job Description
What an Accounting and Confirmations Specialist will do:
- Review purchase order confirmations for accuracy and completeness
- Verify details such as pricing, quantities, dates, and counterparty information
- Communicate with internal teams (sales, accounting, integration) and external partners (customers, vendors) to confirm details and resolve discrepancies
- Maintain accurate records of all confirmations in the system or database
- Monitor outstanding or pending confirmations and follow up to ensure completion
- Escalate unresolved issues to management in a timely manner
- Review and enter vendor invoices into the accounting system
- Match invoices with purchase orders
- Reconcile vendor statements; research and resolve invoice or payment discrepancies
- Answer, screen, and direct incoming phone calls
- Continuously seek opportunities to improve accuracy, timeliness, and efficiency in the confirmation process
- General office skills, including proficiency with keyboarding and multi-line phone systems
- 1–3 years of experience in confirmations, order processing, finance operations, or a related role
- Strong attention to detail and accuracy in reviewing documents and data
- Proficiency with Microsoft Office (Excel, Outlook) and familiarity with ERP/finance systems
- Excellent communication and follow-up skills
- Ability to work under tight deadlines and handle high transaction volumes
- Strong problem-solving and organizational skills
